Digital Logistics System for Traceable Timber Handling

The project involves developing a new solution for managing & tracking the logistics flow at a rail terminal. The goal is to create better overview, clearer structure, and support for the daily work of terminal staff.

Background

The project was initiated in April 2025 due to an identified need in the organization to improve the handling of logistics flow at the terminal. Work was previously managed using Excel spreadsheets, manual printouts, and verbal communication. This analog approach involves a high risk of errors occurring, while also lacking transparency in the flow. It also makes it difficult to know what is actually in stock and where it is located, negatively affecting both efficiency and workflow.

The purpose of the project is to create a digital system that provides control, overview, and traceability in the internal logistics flow at the terminal.

By digitalizing the flow, we aim to:

  • Reduce the risk of errors and misunderstandings
  • Make it easier to know what's in inventory and where it's located
  • Create a common and easily accessible workflow for staff
  • Connect information about timber packages, containers, and train transports in a single flow

Work Approach

We have worked in two-week sprints with short lead times and rapid deliveries. This has given us good momentum in the project and the opportunity to test and improve the solution along the way. I have maintained close collaboration with both IT and the business operations, and been present on-site. This has made it possible to capture experiences and feedback directly from those who will use the system, and ensure that we build something that actually works in daily operations.

Throughout the project, I have made several contributions that have helped us succeed:

  • Project planning and roadmap – I developed and established a clear roadmap for the project with different sprints, providing a structured implementation plan and making deliveries predictable.
  • Meeting coordination – I've been responsible for planning, organizing, and leading project meetings, as well as ensuring important deadlines are met by all parties to maintain the project timeline.
  • Documentation and communication – I've ensured that all project communication is documented and shared between team members, creating a transparent work process where everyone is informed about project status and progress.
  • Stakeholder coordination – I've served as the link between IT developers and the business operations, ensuring that technical solutions meet the business needs and expectations.

These contributions have been crucial in keeping the project structured and on track, while ensuring good communication and understanding between all involved parties.
